Job Description

In Support to ESA’s Science Directorate at ESTEC we are looking for: Project Control Support for PRODEX

The Prodex Programme Office (Programme de Développement d\'EXpériences Scientifiques) provide funding for the industrial development of scientific instruments or experiments, proposed by Institutes or Universities in the Participating States.

Tasks and Responsibilities:

  • Preparation of PRODEX procurement actions (contracts, contract extensions and purchase orders);
  • Follow-up of the procurements with Finance and Contracts departments;
  • Invoice control process involving all actors involved, including project team, Finance Division and Institute/University administrations according to need; Validation by the Payment Milestone Achievement Certificate (PMAC) in accordance with a technical milestone, or Cost Statement with the reporting period (Limit of Liability);
  • Association of invoices to the appropriate commitment and check of the financial availability;
  • Keeping records of sent and checked invoice status to ensure payments are performed in due time;
  • Preparation of bi-annual financial reports on PRODEX projects;
  • Maintenance and updating of various databases in Excel format, (such as: Payment clearance, Purchase orders, individual projects, summaries, business address etc.);
  • Maintenance and data input for the new PRODEX Database including validation phase;
  • Maintaining documentation database, registration, distribution and archiving of documents;
  • Support to other tasks of the PRODEX Office where the post holder’s experience can be brought to bear;
  • Provide ad hoc administration support as needed;
  • Organization and maintenance of the daily administrative tasks (store supplies, mail, fax etc.).

Skills and Experience:

  • Bachelor Degree in Business Administration, or equivalent;
  • Fluent in English; knowledge of another ESA member state language is an asset;
  • Several years of experience in administration, finance, documentation control;
  • Cost and budget control and/or bookkeeping activities;
  • Good knowledge of SAP;
  • Good knowledge of Microsoft Office and in particular Excel and Word is mandatory;
  • Knowledge of the financial aspects of ESA contracts and ESA tool (PRISMA Suite, IRMA, EFIS, COSY, etc.) and Document Management System experience would be an asset;
  • Autonomy, initiative and capacity to identify priority actions and to handle high work load;
  • Demonstrated ability in verbal and written communications;
  • Rigor, commitment and reliability in the execution of the assigned tasks;
  • Good sense of working with numbers, and a sense of accuracy for data input;
  • Good interpersonal and communication skills.

Starting date: March 2010 or as soon as possible thereafter
