Job Description

In support of ESA’s Earth Observations (EOP) Directorate at ESTEC we are looking for a: Meteosat Third Generation (MTG) Programme Assistant

Main tasks and responsibilities:

  • Organising the Programme Managers’ (and Team) calendar;
  • Coordinating and Organizing internal and external meetings and Reviews;
  • Preparing meeting documentation/briefings as appropriate;
  • Dealing with telephone calls and information requests;
  • Reviewing/processing all incoming & outgoing correspondence and documentation;
  • Maintaining office filing systems and ensuring timely team notification of incoming documentation (using Document Management System (eg. Eclipse);
  • Maintaining close coordination with EUMETSAT administration team to ensure consistency of approach and efficient/timely information exchange;
  • Preparing, coordinating and organizing team travel requirements & mission claims – ensuring optimum use of resources;
  • Supporting the MTG Project Controller, to ensure timely processing and approval of industrial invoices;
  • Maintaining Leave Administration in the Human Resources Management System (SAP);
  • Ordering office supplies.

Skills:

  • Degree in business administration or equivalent;
  • Proficient in MS Office packages (eg WORD, Excel, etc.) with experience of high level Project Management tools for Data/Document Management and General Administration (eg SAP);
  • Excellent planning and organisational skills and attention to detail.
  • Good communication skills;
  • Initiative and motivation to perform to high standards in a demanding environment;
  • Ability to establish and maintain effective working relationships with the outside world;
  • Ability to work both autonomously and as part of a team within the boundaries of assigned tasks and a stringent schedule;
  • Fluent in English; Knowledge of other ESA Member States’ language is an asset.
