Do you want to be part of the space future? As support to a European space company we are looking for a Secretarial and Administrative Support

Activities

The European Astronaut Centre (EAC) in Cologne is responsible for the selection and recruitment of new ESA astronauts, the planning and scheduling of their tasks and flight assignments, and the preparation and implementation of astronaut training programmes for space missions to the International Space Station (ISS). In your role as a secretary, you will be responsible for the following activities:

  • providing secretarial assistance, handling telephone enquiries, processing incoming and outgoing mails
  • organising the agenda of the Head of the EAC, appointments and missions and keeping him informed of issues of concern during his absence;
  • composing routine correspondence, preparing and processing data, documents and presentation in English
  • checking for correct authorisation, substantiating documentation and adherence to Agency rules and practice
  • taking minutes of departmental meetings, keeping up to date the list of actions defined during these meetings and organising a follow-up system of these actions
  • maintaining the documents and mail archiving;
  • supervising and coordinating the secretarial support at the EAC, in particular for continuation of service in case of absence
  • providing secretarial assistance to the General Management & Support Division
  • Any other duty within the domain of competence of the post as required

Skills

You ideally have the following qualifications and experience:

  • Several years of experience as a secretary
  • Fluent in German and English, knowledge of French is an asset
  • highly proficient in MS office software
  • high level of flexibility, good communication skills, ability to cope with pressure
